# 6. Inventory

Manage your real estate inventory — projects, buildings, segments, and units. Control unit visibility, track the full sales pipeline from show to delivery, and bulk upload or reprice units via Excel.

# Units

## Overview

The **Units** tab is the main view for browsing and selling available units. Units are displayed as cards with photos and key details.

> 💡 The EOI Project toggle controls whether EOI fields appear in the project. If OFF, EOI section is hidden completely.

> 💡 The EOI form in the project supports **Document Words** — placeholder codes that the system replaces automatically with real data when the EOI document is generated. For example, inserting `-client-name-` in the EOI form body will be replaced with the actual client's name when the EOI is printed or downloaded. This works the same way as the contract template system. To view all available placeholder codes, go to **Setup → Document Words**.

## Managing Buildings

Click the **Buildings** button on a project card to see all buildings.

Each building card shows its name, image, and a **Show Building Segments** button.

## Building Segments

> 💡 You can assign a **specific payment method** to a building segment — this overrides the project-level payment method for units generated from this segment. Use the **Select Payment** field when adding or editing a segment.

A **Building Segment** is a unit type template within a building (e.g., 2-bedroom apartment on the ground floor). Adding a segment lets you generate multiple identical units at once.

### Edit Building Segment

Same fields as Add — with the addition that after saving, all units within the segment reflect the updated values.

At the bottom of the building segment view, you can see all the units generated from it with their **Unit Price**, **Space**, **Floor**, and **Segment** — and take actions on them directly.

# Units Management

## Overview

**Units Management** is the admin view of all **available** and **hidden** units. It is primarily used by **Operations, Financial teams, and Top Management** to **hide or unhide units** — controlling which units are visible in the sales Units tab.

> 💡 A hidden unit will not appear to salesmen in the Units tab. Use Units Management to toggle unit visibility without deleting them.

## Who Uses It

- **Operations / Management** — uses Units Management to see the complete picture of all units and take admin-level actions.

## Available Action

# Discard Show Units

## Overview

**Discard Show Units** is a bulk action that cancels **all** pending "View to Client" assignments at once.

## When to Use It

When salesmen have shown units to clients (via the View to Client button), those units appear in the clients' interface. If you want to clear all active View to Client assignments across all clients simultaneously — for example, at the end of a sales event — use this feature.

## How It Works

1. Go to **Inventory Module → Discard Show Units**.
2. Confirm the action.
3. All units currently shown to clients via "View to Client" are removed from client views at once.

> ⚠️ This is a **bulk action** — it affects all active View to Client assignments across all salesmen and clients, not just one. Use with caution.

# Units Action Filter

## Overview

The **Units Action Filter** lets you monitor and filter all actions taken on units across the sales pipeline — from View to Client through to Delivery.

# Inventory Upload

## Overview

The **Inventory Upload** section allows you to bulk import units via an Excel/CSV template, and to reprice existing units in bulk.

## Two Templates Available

## Price Type Logic

**Full Price:** The Unit Price column is the total unit price as-is.

**Meter Price:**

- Unit total price = Unit Price × Segment Space
- Garden price = Garden Price % × Meter Price × Garden Space
- Roof price = Roof Price % × Meter Price × Roof Space
- Enter `0` for Garden Price % and Roof Price % if not applicable.

## Adding Units to an Existing Project

If you want to add more units to an existing project via upload, all project/building/segment values in the file must **exactly match** the existing values already in the CRM.

## File Preparation Steps

1. Go to **Setup → Inventory Upload** and download the template.
2. Fill in the data following the column reference above.
3. **Delete the first row** (the example row that comes with the template).
4. Save as **CSV UTF-8**.
5. Upload the file.

## Repricing Template

Use this when you have an existing project and want to update the prices of all units at once.

### How to Download

Go to **Setup → Inventory Upload** — the system will ask you to select which project you want to download the repricing template for. After selecting the project, the template downloads pre-filled with all that project's existing units.

### Steps

1. Download the **Repricing Template** from **Setup → Inventory Upload**.
2. The template comes pre-filled with your existing units.
3. Update **only the columns highlighted in green** — these are the editable price fields.
4. **Delete the first row** (the example row).
5. Save as **CSV UTF-8**.
6. Upload the file.

> 💡 The repricing template only affects **available** and **hidden** units — sold or reserved units are never modified.
