Broker CRM Overview The Broker CRM is a dedicated set of modules designed for broker companies to manage their own inventory, clients, and developer relationships — all from within the same CRM. A broker uses these modules to list resale units, track primary developer projects, send leads to developers, and manage the owners of the properties they work with. Each developer record stores their contact details, contract information, and branding assets. The Developers List The list shows all developers with the following columns: Column Description Name Developer company name. Address Company address. Phone Primary phone number. Network — Owners Overview Owners are individuals or entities who own properties and want to sell or rent them. You add them to the CRM and their resale units are automatically linked to their profile. 💡 Important: When a salesman creates an owner, only that salesman can see the owner and their units — owners are not shared across the team. This is by design: owners typically contact the salesman directly, the salesman adds them to the system, and then presents their units to interested buyers on their behalf. 💡 Note for Resale: Owner details (name, contact info) are not visible on the resale unit card itself — the unit is shown without revealing the owner's identity. Interested buyers ask the salesman, who then connects them with the owner privately. This protects the owner's information and keeps the salesman central to the deal. The Owners List The list shows all owners with the following columns: Column Description Name Owner's name. Salesmen The salesman(s) assigned to this owner. Address Owner's address. Mobile Primary mobile number. Additional Mobiles Any extra mobile numbers. Email Email address. Type Owner type (e.g., Person). Description Notes about the owner. Adding an Owner Click Add New + and fill in the following fields: Field Required Description Name ✅ Owner's full name. Type Optional Owner type — e.g., Person. Mobile ✅ Primary mobile number. Additional Mobiles Optional Add extra mobile numbers using the Add button. Email ✅ Email address. Address Optional Owner's address. Description Optional Notes about the owner. Salesmen ✅ Assign one or more salesmen to this owner. 💡 You can assign multiple salesmen to one owner and filter the owners list by salesman. Owner Profile Clicking on an owner opens their profile, which shows all their details and a Resale Units section at the bottom — listing all units this owner has submitted, with View, Accept, and Compare buttons on each unit. Limit Add Owners You can limit how many owners a salesman is allowed to add. To set this: Go to Roles & Users → Users. Open the user's profile (Edit User). Set the Limit Add Owners field to the maximum number allowed. ⚠️ Once a salesman reaches their limit, they cannot add new owners until the limit is raised or an existing owner is removed. Network — Sent CILs Log Overview The Sent CILs Log tracks every CIL (Client Information Letter) you've sent to a developer from within a lead. It gives you a complete record of which leads were shared with which developers, by whom, and when. How to Send a CIL to a Developer Open the lead you want to send to a developer. Click the Send button on the lead. The Send Leads Via Emails screen opens. Fill in the following: Field Description Select Developer Choose the developer company to send this lead to. Another Developer Email Add extra developer emails if needed — separated by commas. CC Add CC recipients — separated by commas. Copy Check to send a copy to yourself. Select Fields Choose which lead data fields to include in the email (e.g., Agent Name, Agent Mobile, lead name, mobile, email, Lead ID, etc.). Each field has a checkbox — check it to include it. Click Send to submit. Once sent, the CIL appears in the Sent CILs Log tab. The Sent CILs Log List Column Description Date/Time When the CIL was sent. Developer Name / Recipients Emails The developer and the email addresses it was sent to. Lead Name The name of the lead that was sent. Country Code The lead's country code. Lead Mobile The lead's mobile number. Lead Email The lead's email address. Lead ID The marketing Lead ID attached to the lead. User (Sender) The CRM user who sent the CIL. Reminder Button to set a follow-up reminder for this CIL. Setting a Reminder Click Set Reminder on any CIL entry to schedule a follow-up. A popup appears where you set: Date — the reminder date. Time — the reminder time. Click Set to save the reminder. Available Filters Filter Description Developer Name Filter by developer company. Recipient Email Filter by the email the CIL was sent to. Date Filter by sent date (From / To). User Filter by the CRM user who sent the CIL. Leads ID Filter by marketing Lead ID. Projects Filter by project. Broker Projects Filter by broker project. Primary Units — Projects Overview The Projects section lists all developer projects you have access to. Each project is organized into Phases, and each phase contains Unit Types with the actual units available for sale. The Projects List Projects are displayed as cards. Each row in the units table represents a specific unit variant. Viewing Unit Type Details Clicking VIEW on a unit type opens its full details page showing: Unit Number, Type, Project Name, Phase Name, Details, Progress status. A Units table with all unit variants — each row shows: Space, Net Area, Garden Space, Roof Space, Price From, Price To, Direction, View, and action buttons. Additional Fields section for any custom fields. Edit, Share, Share to Facebook buttons at the top right. The Unit Types Tab Accessible from the project view, the Unit Types tab shows all unit types across all phases of the project in one list, with the same card layout and filters. Project Filter by project. Selling a Primary Unit — The Pipeline When you click VIEW on a unit row, the selling pipeline opens. The pipeline has 3 stages: Show → Hold → Contract Show Stage The unit is shown to the client. Actions available: Button Description Confirm & Move to Hold Client confirms interest — moves to Hold. Discard Show Cancel the show — unit returns to available. Hold Stage The client has confirmed interest. Fill in the hold details: Field Required Description Date Optional Contract date — leave empty to use today's date. Note Optional Any note on this hold. Price Optional The agreed price. Sales Man Optional The salesman responsible. Actions: Confirm & Move to Contract — moves to the Contract stage. Discard Hold — cancels the hold. Contract Stage The unit is under contract. Action available: Discard Contract — steps back to Hold. 💡 The pipeline progress bar at the top shows Show / Hold / Contract with a count of units at each stage — click any stage to jump to it. Primary Units — Project Units History Overview The Project Units History tab provides a complete audit log of all actions taken on all primary units — across all projects and phases. Use it to track every show, hold, contract, price change, and any other activity on any unit. What You See Column Description Client The client associated with the action. User The CRM user who performed the action. Unit The unit the action was performed on. Action The type of action (e.g., Show, Hold, Contract, Change Price). Action Date The date the action was set to take effect. Note Any note recorded with the action. Creation Date/Time When the action was logged in the system. Available action: Search. Client Filter by client name. 💡 Use Project Units History to investigate what happened to a specific unit, verify when a deal was confirmed, or review a salesman's activity across all primary units. Resale — Resale Units Overview The Resale Units section is where all resale properties submitted by owners are listed and managed. Units start in Pending status and must be Accepted before they can be shown to clients and sold. 💡 Owner Privacy: The owner's details (name, contact info) are not visible on the resale unit card — the unit is shown without revealing the owner's identity. Interested ask the salesman directly, who then connects them with the owner privately. This keeps the salesman central to the deal and protects the owner's information. Selling a Resale Unit — The Pipeline Once a unit is Accepted, click VIEW button on the unit card to select client. The process is the same as Primary Units: Show → Hold → Contract Show Stage The unit is shown to the client. Button Description Confirm & Move to Hold Client confirms interest — moves to Hold. Locations Setup Overview Locations is where you define the location hierarchy used across the Broker CRM — when adding a resale unit or project, the Location field draws from this list. Locations are organized in a parent-child tree (e.g., Egypt → New Cairo → 1st Settlement → Banafseg). How to Access Go to Setup → Locations. The Locations List Column Description Code An optional numeric code for the location. Name The location name. Parent The parent location this entry belongs to. Actions Edit or Delete. Available actions: Search, Add New +. Adding a Location Click Add New + and fill in: Field Required Description Name ✅ Location name (e.g., New Cairo, 1st Settlement, Banafseg). Parent Optional Select the parent location this entry sits under in the hierarchy. Leave empty for top-level locations. Click Create to save. 💡 Build the hierarchy from top to bottom. Example: First create "Egypt", then create "New Cairo" with Parent = Egypt, then create "1st Settlement" with Parent = New Cairo, and so on. ⚠️ Locations used in existing resale units or projects cannot be deleted — remove the association first before deleting the location.
